    Organisation

    Highfield Healthcare which incorporates Highfield Hospital and Hampstead Clinic Services the "Approved Centre" registered by the Mental Health Commission.

    Reporting relationship

    The post holder reports to the Head of Quality & Patient Safety.

    Key stakeholder working relationships across the organisation will include Nurse Management, Consultant Psychiatrists, other members of the multi-disciplinary team and Support Services.

    Hours of Work

    This is a full-time post working 37.5 hours, Monday through Friday, 9am to 5pm

    Job Summary

    The Quality and Patient Safety Administrator is responsible for supporting the quality and clinical governance agenda and activities in Highfield Approved Centre. This includes supporting the organisation to meet legal and regulatory compliance with the Mental Health Commission (MHC) and specifically the Mental Health Act Administrator Role.

    • Develop and maintain systems and procedures to ensure compliance with all provisions of the Mental Health Act (MHA
    • Ensure the timely, accurate and efficient administration of all statutory requirements under the MHA 2001.
    • Deal with any queries and resolve problems, in keeping with the boundaries of the role, in relation to the implementation of the Act or during Mental Health Tribunals.
    • Coordinate and facilitate all Mental Health Tribunals.
    • Liaise directly with MHC appointed legal representatives and Independent Consultant Psychiatrists.
    • Liaise directly with treating teams responsible for the involuntarily detained service users of SPMHS.
    • Provide guidance to clinical staff regarding their obligations under the MHA 2001.
    • Ensure staff are kept up to date with the latest developments communicated from the Mental Health Commission.
    • Support the registration process for the Mental Health Commission.
    • Support the annual inspection process including organising a location for inspectors, collating relevant information and uploading all documents to the CIS system.
    • Assist in preparation of annual reports for the MHC.
    • Support monitoring compliance with the MHC Judgment Support Framework.
    • Provide secretarial support to the Clinical Governance committee for the mental health services including minutes, agendas and reports.
    • Support data gathering on quality indicator data sets such as involuntary service user activity and produce reports to identify opportunities for learning and improvement.
    • Work with the Quality and Safety Co-ordinator to ensure appropriate dissemination of incident data and reports to MDT's in the approved centre.
    • Work with the Quality and Safety Co-ordinator to ensure appropriate notifications of incidents to the MHC.
    • Provide administration support for patient safety reviews/systems analysis in the mental health service.
    • Provide administration support for recording, communicating, following up, and managing complaints arising.
    • Assist nurse management and multi-disciplinary teams and the Quality and Safety Co-ordinator with policy development, management and review to ensure policies required by the JSF and regulations are in place and kept up-to-date.
    • Support patient and family surveys including in Acute units, SRU's, and long- term mental health units.
    • Prepare relevant clinical governance communication updates for frontline staff.

    Qualifications and Experience

    All applicants will be required to have:

    • Proven organisational and administrative skills
    • Be fully computer literate and have very good knowledge of MS Word, Excel, Adobe.
    • Proven track record of working within a busy and dynamic environment with excellent time management skills.
    • Minimum 3 years' experience in a similar or related role.
    • A relevant third level or professional qualification in a health, social care or related discipline .
    • Be flexible, possess excellent interpersonal skills and be able to act on own initiative.
    • Knowledge of the Mental Health Act 2001 and guidance in relation to the practical application of the provisions of the Act.
    • Strong patient service experience or customer service experience.
