    In a nutshell

    As Office Coordinator, you will oversee the day-to-day activities associated with running an office. You will be acting as a focal point for all departments, handling administrative tasks, and facilities management, while working closely with the Office Manager.

    Where will you be based and what business will you support?

    Based in Dublin, you will be supporting a high quality office environment for GSC Ireland teams.

    How can you help us?

    You will:

  • Support effective day to day running of the office (including kitchen set up, cleaning, and maintaining a clean and organised office).
  • Support other teams with various administrative tasks (redirecting calls, manage post and courier services, scheduling meetings etc. Including providing support for HR initiatives).
  • Ensure the office environment is a high quality working environment for team collaboration and individual working
  • Provide a supporting office coordination service and aim to meet the requirements of the people/teams using the office environment.
  • Office purchasing (manage all purchasing for the office, reviewing and tracking invoice queries) working with the central purchasing and accounts team on any queries.
  • Support and assist visitors when they arrive at the office (Coordinating hotel booking, taxi, and lunch orders etc)
  • Maintain files and records with effective filing systems and ad hoc requests.
  • Participate in the planning and execution of office events and activities.
  • Manage car-parking app and employee registrations, including parking permits.
  • Monitor office supplies inventory and place orders.
  • Develop positive working relationships with internal customers and external suppliers and service providers.
  • Assist with the new starter process and deliver Office Induction training.
  • Work closely with IT and HR to maintain an accurate inventory of equipment purchased and given out to employees.
  • Liaise with the building management to ensure compliance of the day-to-day health and safety processes.
  • Co-ordinate fire wardens' team to ensure best practices are adhered to.
  • Establishing and enforcing office policies.
  • Improving communication in the office.
  • Qualifications

    You have:

  • 2 – 4 years' experience in a similar role.
  • The following key competences:Ability to manage people and resources.Flexibility and ability to multi-task.Excellent time management skills.Ability to utilise computer systems used within the office.Ability to work well with others.Excellent customer service skills.Ability to remain calm under pressure and balance workload.Strong attention to detail.Exceptional communication skills, both written and verbal.Strong understanding for the need for discretion in this role is a must.Strong record keeping skills.Ability to work both independently and as part of a team.Strong can-do attitude.Qualification in Secretarial Studies, Office Administration Studies or in a relevant discipline would be a distinct advantage
