    Description

    Our client located in Rathfarnham, Dublin is in search of an Administrative Assistant to join their team for a 2-year Fixed Term Contract.

    Key Responsibilities:

    • Producing organizational reports and analytics for nurse management and regulatory purposes in an accurate and timely manner.
    • Diary management, organizing and planning meetings and events as needed.
    • Managing workforce planning and rostering of Nursing and Healthcare staff.
    • Establishing, implementing, and reviewing systems.
    • Completing projects and various administrative tasks assigned by the Director of Nursing and/or designee.
    • Preparing meeting minutes and correspondence when necessary.
    • Updating and maintaining organizational information systems.
    • Implementing and maintaining an efficient and effective filing system.
    • Maintaining accurate and up-to-date records and databases.

    Qualifications & Experience Requirements:

    The ideal candidate should possess a recognized and relevant third-level qualification of at least level 6 on the National Qualifications Framework maintained by Qualifications and Quality Ireland (QQI) and a minimum of 3 years post-qualification administrative experience.

    Experience should cover:

    • Proven administration experience in a hospital/healthcare or similar environment.
    • Workforce Planning and Rostering experience.
    • Excellent verbal and written communication skills.
    • Strong time, task, and diary management experience.
    • Thorough knowledge of data protection practices, policies, and procedures.
    • Demonstrated ability in building effective relationships with internal and external stakeholders.
    • Proven capability to work both operationally and strategically.
    • Ability to multitask, prioritize, and work independently.
    • Strong presentation skills and proficiency in IT.
    • Capacity to thrive in a dynamic office setting, maintaining high professional discretion and confidentiality.
