    This role is essential in supporting both office and site operations, ensuring efficiency, compliance, and smooth coordination of administrative tasks.

    About the Role

    We are seeking a highly organized and detail-oriented Office/Site Support Administrator to provide administrative support to our Managing Director/Commercial Manager and project teams.

    The successful candidate will be responsible for:

    • Providing ad hoc PA support to the Management, including scheduling meetings and handling correspondence.
    • Preparing reports, presentations and documentation as required.
    • Managing office supplies, equipment and facility maintenance.

    Key Responsibilities

    Executive & Administrative Support

    • Provide executive and administrative support to the management team.
    • Prepare reports, presentations, and documentation as required.
    • Manage office supplies, equipment, and facility maintenance.

    Analysis & Record Keeping

    • Maintain accurate records of documentation, overhead invoices, insurance, contracts, and correspondence.
    • Assist in tracking costs, budgets, and expenses, providing reports for management.
    • Ensure all documentation complies with company policies and industry regulations.
    • Support site teams by organizing and maintaining construction-related records, including timesheets, and safety documentation.

    General HR Administration

    • Support HR functions, including maintaining employee records, contracts, and training documents.
    • Assist with recruitment processes, onboarding, and induction of new employees.
    • Handle payroll documentation and requests.
    • Maintain daily site logs, tracking site activities.
    • Assist in compiling and submitting site reports and progress updates.
    • Ensure all required site documents are up to date.

    Health & Safety Compliance

    • Maintain records related to site health & safety compliance and ensure policies are up to date.
    • Organize safety training sessions and track certifications.
    • Ensure PPE and other site safety equipment are available and distributed properly.

    Communication & Customer Service

    • Act as the first point of contact for office and site inquiries, calls, and visitors.
    • Coordinate internal and external communications, including emails and notices.

    Requirements

    Qualifications & Experience

    • Prior experience in office administration, site clerking, or a similar role within the construction industry.
    • Strong knowledge of construction documentation and compliance requirements.
    • Proficiency in Microsoft Office Suite and document management systems.
    • Excellent organizational and multitasking skills.
    • Strong communication and interpersonal abilities.
    • Attention to detail and problem-solving skills.
    • Ability to work in a fast-paced environment and support multiple teams.

    • Compliance with health & safety and regulatory standards.
