    Job Description:

    The successful candidate will have a minimum of 3 years' experience coordinating hard and soft facilities services. They must be able to manage people, work effectively with KPIs, and interact with clients.

    A qualification in facilities management or a suitable business or technical field is essential.

    • Manage and coordinate various facilities management contracts accurately and efficiently.
    • Work closely with the existing team headed up by the contracts manager to ensure smooth contract running.
    • Services include facilities management, hard and soft services, staff management, ad-hoc projects, and back office administration.

    Main Duties and Responsibilities:

    1. Assist staff in executing duties outlined on PPM and reactive Work Order requests.
    2. Ensure timely execution of all Work Orders within permitted parameters.
    3. Monitor and achieve Key Performance Indicators, escalating known issues to the account manager.
    4. Review and approve sub-contractor invoices and verify works done.
    5. Carry out service inspections in detail, documenting and executing in a timely manner.
    6. Coordinate contractors attending the site and ensure relevant documentation is in place.
    7. Maintain consistent compliance with health, safety, and quality policies and procedures.
    8. Manage utilities consumption levels, monitor, and document.
    9. Efficiently manage stock levels, maintaining sufficient cleaning chemicals and consumables.
    10. Ensure high standards of cleaning are maintained at all times.
    11. Manage Asset register, recording and reporting damaged FF&E promptly.
    12. Record and report accidental and wilful damage immediately.
    13. Manage Time and Attendance records, Annual leave requests, sick leave, and staff queries.
    14. Deliver staff training through Human Focus.
    15. Ability to work under pressure to tight deadlines.
    16. Demonstrate flexibility in approach to work.
    17. Provide accurate monthly reports on staff issues, PPM's, and reactive works.
